Challenge:

Trillium College’s largest influx of students was in the previous year. With the College’s administration dealing with thousands of new students, little effort was put into feedback on web-based student services. This year, the administration wants to learn what works and what doesn’t work for students at all levels. Since the College’s student services are mostly done online, a student survey would be distributed through the website and their individual access pages. However, surveying that many students has several Input and Output concerns.

Input Concerns:

Student web services have to be easy and accessible. The challenge for Trillium College administrators is answering these questions: What questions do you ask students about College web services? How many questions do you include in the survey? Do you place the survey on the main Student Services Centre page or send it as an e-mail? Do you let students have a chance to complete the survey at a later time?

Output Concerns:

Getting complete information from students is difficult. Do senior and junior students have the same experiences? How do you analyze data gathered by variables? Does the data gathered answer your research questions? Using information you collected to improve student web services is an output concern.

Solution:

Surveyonics has created a solution to address these concerns. Surveyonics developed two key features of its embedded survey: Direct Access through the student web services main web page and Automatic Prompts through the Web Services’ remaining pages. Trillium College launched the student survey during the sixth week of the first semester. Trillium’s survey was designed to give students easy access. It also allowed them to complete and send the survey at a later time. All students had one full week to complete the survey. Regular prompts were sent through the College’s electronic messaging system. On-screen prompts were also given when students used College Web Services.

Result – Student Web Services-Embedded Survey:

Trillium College’s survey was filled out by 6,500 students within the week allocated (approximately 40% of the total student population). Most students filled out the survey in one session (75%) while the remaining did so before the end of the week (25%). The survey asked a mix of open-ended and closed questions about service quality factors such as accessibility, speed, privacy, and reliability. The survey ended with a prompt to add any additional comments. The results of the survey were aggregated automatically after the end of the survey period.
